Sometimes content can get out of control, especially if your website is continually growing in pages and sections.  This month we'll show you to make the most of the Verve Security & Workflow system and manage the way that your valuable content is published.

Security


The Verve security system is based on users and roles. 

A user is a single person who uses the system. 

A role is a set of permissions which define access to certain functions within the system. 
Users can be assigned to one or more roles.

Verve's integrated workflow is built around the security system. 

Setting up a security system for your website involves the following steps:
•    create roles
•    assign privileges to roles
•    create users
•    assign roles to users.

In simple terms, you firstly need to think about which roles need to be created. It's best not to overcomplicate things by having too many roles – you just need enough to cover the main content authors and publishers.

Once you've determined the roles, you need to carefully select what that role can and can't do in terms of adding content, deleting content, publishing, archiving etc. Find out more about creating roles & assigning privileges to roles.

Once you've determined the roles, the next step is to create your users. The majority of you will have already done this, however, you may never have assigned roles to those users. Find out more about creating users & assigning roles to them.


Workflow


The purpose of setting up a workflow process for content publishing is to ensure that the content that is on the live website is correct, complete and consistent, and that the review approval process is efficient. The complexity and flexibility of the workflow may depend on the size of the website owner’s organisation, the number of content contributors, and the type of the documents published on the website. For example, product catalogues or legal documents require more rigorous review and approval process than news articles or reports on team leisure activities.

Verve allows content administrators to set up a large variety of workflow processes, from the simplest to the most complex.

Setting up a workflow process for your website involves the following steps:
•    Develop workflow process model,
•    Define general workflow settings,
•    Create roles and define their privileges (covered in our earlier section)
•    Create users and assign roles to them (covered in our earlier section)
•    Create workflow steps,
•    Create workflow process(es),
•    Assign a workflow process to content folders or assets,
•    Set up email notifications.

Whilst it may sound a bit complex, once you’ve set up the workflow it makes for more manageable and trackable content editing and publishing.

The first important step involves determining the process for your particular workflow/s. Will you allow editors to change content or simply approve or reject? How many steps will be involved to complete the process? Will you need all editors to approve or will just one approval be acceptable? You’ll need to answer these questions as part of developing the workflow process and settings. Find out more about developing and defining workflow processes.
